GlossGenius business owners and authorized team members use the private app or browser login to manage products, stock quantities, checkout, and inventory reports. Clients usually use a professional’s separate booking website and do not need a GlossGenius account or app download.
This independent guide is not affiliated with GlossGenius.
Start by separating account access from inventory problems. A rejected password belongs in account recovery, while an incorrect stock count should be traced through the product record, checkout history, and inventory adjustments.
What GlossGenius Inventory Does
GlossGenius combines booking, payments, business administration, and retail inventory tools for salons, spas, medspas, and other service businesses. Its inventory system tracks products and retail sales, supports barcode scanning, and can warn a business when stock is running low.
Inventory is part of the private business account. Clients do not enter that area.
Products can be added to a checkout ticket, sold without an appointment, or managed through the inventory list. When an inventoried product is added to checkout, GlossGenius says the associated quantity is automatically deducted from stock.
That automatic deduction is useful, but it also shapes troubleshooting. A low count may reflect completed sales rather than a manual mistake. A count that remains too high may indicate that the product was not added correctly during checkout.
Check the sale first.

GlossGenius currently documents two mobile paths to the product list: Settings > Retail & Inventory and Features > Inventory. Browser users can select Product > Inventory from the left navigation.
Do this first: confirm whether the problem concerns login, product setup, checkout, or reporting. Skip password changes when the account already opens normally.
How Business Members Log In
Existing business members can enter through the GlossGenius app or official browser login. The current login application is hosted on the GlossGenius app domain.
Use the email connected to the established business account. A new profile should not be created merely because the original login fails, since another account may not contain the existing products, quantities, client records, sales history, appointments, or payout settings.
GlossGenius reports Account Login and Admin as separate system components. Admin covers post-login functions including inventory management, settings, services, team tools, and booking-site editing.
That distinction matters.
A member may authenticate successfully but encounter trouble inside Inventory. In that case, review Admin status and the specific product workflow rather than immediately resetting the password.
Resetting a GlossGenius Password
Use Forgot Password from the official app or browser login screen when account credentials are no longer accepted. Enter the email associated with the account and follow the recovery message delivered by GlossGenius.
Members who are already signed in can begin a password reset through:
Features > Settings > Personal information > Reset Password
GlossGenius then sends a password-reset email to the account address.
Confirm the email before generating multiple requests. Several recovery emails can make it harder to identify the newest link.
Keep credentials private. Do not send a password, verification code, full payment-card number, or confidential client information through an ordinary message or third-party directory.
Adding and Updating Retail Products
GlossGenius provides product-list access through both mobile and browser interfaces. The product record is where a business can review and update inventory information before the item is sold.
A clean product record should be checked for:
- product name and brand;
- retail price;
- current quantity;
- barcode, when used;
- low-stock threshold;
- whether the item is intended for retail or internal service use;
- sales-tax treatment shown by the account.
Product names should be specific enough for staff to distinguish similar sizes, shades, or formulations. “Shampoo” is less useful than a product entry that clearly identifies the brand and size.
Avoid creating a second record for the same item until the existing list has been searched. Duplicate records split quantities and make retail reporting less reliable.
Priority one is the product record. Skip manual stock corrections until you know whether two versions of the same item exist.
How Automatic Inventory Deductions Work
GlossGenius says product quantities are updated in real time and automatically reduced when products are added to a client checkout ticket.
That means a stock discrepancy should be traced through the exact sales flow.
Suppose the shelf contains eight units, but GlossGenius shows ten. Possible explanations include a retail item sold outside the recorded checkout, an incorrectly selected product, or a quantity that was manually changed after the sale.
The opposite problem can also occur. Inventory may be lower than the physical count if a sale was voided, refunded, or entered twice without the quantity being reviewed.
Do not immediately overwrite the number to match the shelf. Check recent transactions first, then make a deliberate adjustment if the sales history does not explain the difference.
This preserves the audit trail.
Selling Products During Checkout
GlossGenius supports retail products as part of an appointment checkout. In the current browser workflow, the member opens the appointment from Calendar, chooses Checkout, and uses the plus control to add a service, product, cart discount, or custom charge before completing checkout.
Retail-only purchases can also be completed without tying the transaction to an appointment. The mobile Dashboard includes a Sale Quick Action for a purchase that is not connected to an appointment, such as a walk-in retail transaction.
Use the product entry rather than a generic custom charge when the item should reduce inventory.
A custom charge may collect the correct dollar amount, but it may not identify the stock item that left the shelf. That can leave inventory overstated even though the payment total looks right.
Select the exact product first. Skip the custom-charge shortcut for stocked merchandise.
Using Barcode Scanning
GlossGenius includes mobile barcode scanning for inventory and checkout tasks. The Dashboard’s Scan Quick Action can be used to add retail items or adjust inventory, and the company also documents barcode scanning during mobile checkout.
Barcode scanning reduces manual product searches, especially when several products have similar names. It does not eliminate the need to verify the result.
After scanning, confirm:
- the correct product opened;
- the price matches the intended item;
- the quantity is correct;
- the item belongs to the proper product record;
- the barcode was not reused on another entry.
A failed scan can indicate poor label quality, an incorrect code, camera trouble, or a product record that lacks the expected barcode. Search for the item manually before creating a new record.
Short pause. Check the match.
Scanning the wrong product accurately is still an inventory error.
Low-Stock Alerts and Reordering
GlossGenius promotes low-stock alerts as part of its inventory-management tools. The purpose is to notify a business when an item approaches its selected minimum so stock can be replenished before it runs out.
A useful threshold should reflect actual sales speed and delivery time.
A slow-moving specialty product may need a lower threshold than a bestseller sold several times each week. Setting every product to the same minimum can generate noise or leave important items understocked.
Review the threshold after busy seasons, price changes, new-product launches, or supplier delays. The ideal number varies by business and product category.
Do not reorder solely because an alert appears. Compare the system count with a physical spot check, particularly when recent returns, damaged goods, samples, or internal product use may not have been recorded consistently.
Inventory and Retail Reports
GlossGenius provides both Inventory and Retail Sales reports.
The Retail Sales Report includes details such as product name, brand, sale date, client, staff member, and refund status. GlossGenius notes that this spreadsheet does not include product costs or total retail-sales dollars; users should refer to the Sales Report for total retail revenue.
The Inventory Report provides information related to sales, restocking, top-selling products, and profit margins. It is delivered as a PDF and can currently be pulled only for all staff rather than an individual team member.
That reporting limitation can surprise managers.
A retail report naming the staff member who sold an item is not the same as an inventory report filtered to one employee. Use the correct report for the question being asked.
Priority two is report selection. Skip exporting every report when one targeted file answers the problem.
Why Inventory Can Look Wrong
Four checks usually narrow the issue:
The physical count is lower: Look for products sold through a custom charge, unrecorded internal use, damaged stock, or missing manual adjustments.
The physical count is higher: Review duplicate checkout entries, refunded sales, and whether the wrong product record was selected.
A product cannot be found: Search for alternate spelling, brand name, size, or a duplicate record before adding another item.
Inventory will not load: Check Admin status because GlossGenius includes inventory management under post-login Admin functionality.
When the mobile interface alone fails, update the application and check the connection. GlossGenius identifies app version and Wi-Fi as initial troubleshooting steps.
Do not collect card information manually during an outage. Delay the supported card transaction or use another safe, authorized business process.
Clients Still Use the Booking Website
Inventory tools do not change the client-access model.
Clients book through the professional’s public GlossGenius website without downloading an app or creating an account. The booking flow can differ between individual and team accounts.
Clients should contact the business about product availability, pickup, returns, appointment timing, or whether an item can be added to a service visit.
They should not request access to the business inventory list or member dashboard.
