GlossGenius Access, Client Profiles, and Data Transfer

GlossGenius business members use the private app or web login to manage clients, appointments, services, and business data. Clients use a professional’s separate booking website and can schedule without creating a GlossGenius login or downloading an app.

This independent guide is not affiliated with GlossGenius.

The first priority is identifying whose access is involved. A business owner may need the account login or Clients section, while a customer usually needs only the provider’s public booking link.

What GlossGenius Is

GlossGenius is a scheduling, payments, booking, and client-management platform for beauty, wellness, and health businesses. Its private business account holds operational information, while its public booking site allows clients to view services and available appointments.

Client data is one part of that private account. Business members can create profiles, import contacts, transfer information from another system, and export portions of their data when needed.

Clients should not attempt to enter this area. They normally book through the provider’s public website without account credentials.

Wrong role, wrong page.

Do this first: determine whether the person is a business member or a client. Skip client-data tools when the only goal is booking an appointment.

How Business Members Access GlossGenius

Owners and authorized team members enter through the GlossGenius application or browser login. After authentication, the account can expose client profiles, appointments, services, reports, and other business tools according to the member’s permissions.

Use the email address associated with the original business account. Creating another account because the login fails can separate the user from existing appointments, clients, notes, services, and historical records.

When authentication fails, recover the existing account before attempting an import or export. Data tools belong to the established business profile, not to a newly created replacement account.

GlossGenius publishes support by phone and text at 1-888-979-7864. Current staffed hours are Monday through Friday from 10 a.m. to 8 p.m. Eastern Time and Saturday from 11 a.m. to 7 p.m. Eastern Time, with limited email support on Sunday.

Adding a New Client Profile

GlossGenius documents a direct mobile process for creating client records. Open Clients, select the plus button in the upper-right corner, and choose whether to add contacts from the phone or create a new profile manually. The Dashboard may also provide a Client shortcut.

A manually created profile should contain only information the business legitimately needs for service and communication. Avoid adding speculative notes, unnecessary personal details, or information copied from an unrelated source.

Client profiles can become central records for appointments, contact information, notes, and future service history. That makes duplicate prevention important.

Search first. Add second.

Before creating a profile, check whether the person already exists under a different spelling, email address, or phone number. Duplicate records can split appointment history and make notifications harder to interpret.

Importing Clients From Phone Contacts

In the mobile app, GlossGenius documents this route:

Clients > + > Add from contacts

The phone’s contact list then appears, allowing the user to select one or multiple contacts before adding them. GlossGenius says businesses can import as many or as few contacts as they choose.

This tool is convenient, but it should not be treated as permission to import an entire personal address book without review. Select business clients rather than unrelated friends, family members, vendors, or personal contacts.

Another practical issue is record quality. Phone contacts may contain nicknames, shared family numbers, missing email addresses, or outdated details. Review imported profiles before relying on them for booking confirmations or marketing communication.

Import narrowly. Skip the full address book unless every included record belongs in the business system.

Moving Data From Another Booking Platform

GlossGenius offers a data-transfer service for businesses switching from another system. Its current public page says the service can move appointments, services, inventory, and client lists.

The more detailed support documentation lists several categories that its transfer team can import:

  • client contact information and notes;
  • services;
  • products;
  • upcoming appointments;
  • packages;
  • reviews.

GlossGenius also accepts information in formats such as CSV or Excel spreadsheets, PDFs, and pictures, depending on the source and data involved.

The documented transfer period is approximately two to six business days, depending on the source format and volume.

That window is not a promise that every record type will move. Review the limitations before closing access to the old platform.

What GlossGenius Will Not Transfer

The current data-transfer guide identifies several categories that are not imported:

  • past appointments and orders;
  • deposit requirements attached to services;
  • client card details;
  • client photos;
  • service and product images;
  • past expenses;
  • gift cards.

These exclusions matter during migration planning.

A business may arrive in GlossGenius with its current client list and upcoming schedule but without its complete historical appointment record. Deposit settings may also need to be rebuilt manually after the core services are transferred.

Client card details should never be copied manually into notes or ordinary files to work around the limitation. Payment information must remain inside supported, secure payment flows.

Priority one is preserving operational continuity. Skip cosmetic data until clients, services, and upcoming appointments have been checked.

Verify a Transfer Before Going Live

Do not assume that a completed import means every record is ready for client use.

Review a sample of:

  • client names and contact details;
  • notes;
  • service names and durations;
  • assigned providers;
  • upcoming appointment dates;
  • product quantities;
  • package information;
  • public booking visibility.

Check unusual records too. Clients with similar names, shared phone numbers, accented characters, multiple email addresses, or detailed notes are more likely to expose formatting problems.

Then compare the number of upcoming appointments in both systems. The totals may not match when canceled entries, duplicate records, or unsupported historical data are included in the old platform.

Keep the previous system accessible until the transferred schedule has been verified. Closing it too early can make reconciliation harder.

Transferring Team Accounts

GlossGenius says its Data Transfer team can help move an individual GlossGenius account into a team account or move a team member into an individual account. The Account Owner must authorize that transition.

This is more than a routine client import.

A team transition can affect ownership, provider assignments, client access, services, and upcoming appointments. Confirm which account will hold the records before the move begins.

The owner should also clarify:

  • which providers are moving;
  • which appointments belong to each provider;
  • whether client records are shared;
  • which services should remain active;
  • who controls the resulting account.

Do not rely on a verbal assumption between team members. Account ownership and transfer consent should follow the process documented by GlossGenius.

Exporting a GlossGenius Client List

GlossGenius allows a solo professional or Account Owner to export a full client list through the web-browser account. The documented route is:

Clients > Export Clients

The resulting CSV includes the client’s name, email, phone number, date of birth, and banned status.

That export should be treated as sensitive business data. Store it only where authorized users can access it, and avoid emailing it casually or leaving it in an unprotected Downloads folder.

The export does not necessarily represent every piece of information stored elsewhere in the account. GlossGenius notes that much historical information can also be accessed through reports in the app or browser, and support may be needed for data that standard reports do not provide.

Export for a defined purpose. Skip repeated downloads that create multiple uncontrolled copies.

Clients Still Book Without an Account

Client profiles inside the business account do not mean customers must log in.

GlossGenius states that clients can book from a provider’s public website without creating credentials or downloading an app.

A business may already have a client profile for someone who books through the public site. That profile helps the provider manage the relationship; it does not turn the client into a business-account user.

Clients should contact the provider about:

  • appointment availability;
  • which service to choose;
  • updating their contact information;
  • correcting a booking;
  • cancellation or rescheduling rules.

They should not request access to the business’s Clients section.

Common Client-Data Mistakes

The first mistake is importing every phone contact. This can fill the account with people who have never been clients and should not receive business communication.

The second is assuming that a transfer includes full historical and payment data. GlossGenius specifically excludes past appointments, client card details, gift cards, and several other categories from its documented data-transfer scope.

Another problem appears when businesses import data and immediately send marketing messages without reviewing consent, accuracy, or duplicate records. Importing a contact does not remove the need to follow applicable communication rules.

Check the list before using it.
