GlossGenius business owners and authorized staff use the private app or browser login to manage bookings, notifications, reviews, and client communication. Clients use the individual provider’s booking website instead and generally do not need access to the business account.
This independent guide is not affiliated with GlossGenius.
The main task is identifying what failed. A rejected login, an absent appointment reminder, an expired booking request, and a missing review prompt involve different settings and should not be treated as one general GlossGenius problem.
What GlossGenius Is
GlossGenius is scheduling, client-management, payment, and booking software for appointment-based businesses. Its communication tools include appointment confirmations, reminders, scheduling updates, cancellation notices, thank-you messages, birthday emails, review requests, and rebooking reminders.
The private account belongs to the business. The public booking website belongs to the client experience.
A customer who wants to schedule should not search for an owner password or create a business profile. An owner whose reminders stopped should not assume the appointment itself disappeared.
Check the calendar first. Check communication second.
Choose the Correct GlossGenius Route
| Your task | Correct starting point |
|---|---|
| Manage appointments and notifications | GlossGenius business login |
| Recover account access | Forgot Password on the login screen |
| Book as a client | Provider’s public booking website |
| Change confirmation or reminder settings | Client Notifications settings |
| Send future rebooking prompts | Rebooking Reminder controls |
| Manage open-time requests | Waitlist inside the account |
| Investigate missing messages | Notification settings and status page |
| Ask about a specific appointment | Contact the individual business |
GlossGenius separates its public Booking Site from Client Notifications on its system-status page. A booking can remain on the calendar while the communication component has trouble, and a reminder can fail even though the booking site itself works.
Do this first: confirm whether the appointment exists. Skip creating another booking merely because no text arrived.
How Business Members Log In
Owners and authorized staff can enter through the GlossGenius mobile app or web-browser login. Use the email connected to the existing business account.
When login fails, verify the email manually instead of relying only on browser autofill. GlossGenius specifically recommends checking the registered address and typing credentials manually during login troubleshooting.
Do not create another business profile as the initial workaround. A separate account may not contain the original calendar, clients, notification history, booking settings, reviews, or service configuration.
A successful login also does not guarantee that every communication function is operating. GlossGenius reports Client Notifications separately from authentication and the public booking site.
Priority one is access. Skip notification edits until the correct account has been opened.
Resetting Access and Receiving a Verification Code
Use Forgot Password on the official app or browser login screen when the password is no longer accepted. Complete the recovery flow sent to the email connected to the account.
GlossGenius also documents a separate problem involving multifactor authentication codes. A user who does not receive a text verification code may have unsubscribed from authentication messages. The current support article provides dedicated resubscription instructions and tells users to request another code after completing them.
When the account phone number is unavailable, GlossGenius says the user can wait for the 30-second timer and select Verify by email to receive the code through the registered email address.
Use only the code inside the active login process.
Never send a verification code, password, full card number, or government identification number to someone who contacts you unexpectedly. Account recovery should remain inside the official GlossGenius flow or a support interaction initiated through the company’s own channel.
Appointment Confirmations and Reminders
GlossGenius enables client notifications by default when an account is created. Its documented notification set includes confirmations, reminders, thank-you notes, scheduling updates, cancellations, birthday emails, review prompts, and eligible rebooking reminders.
The default timing described in current support documentation includes:
- appointment confirmations 72 hours before the scheduled time;
- appointment reminders 24 hours before the appointment;
- a thank-you email after the appointment;
- scheduling messages after booking, rescheduling, or joining a waitlist.
Timing can be customized for supported notification types.
There is an important cutoff. When an appointment is booked after a notification’s configured send time, that message is skipped. For example, an appointment created less than 24 hours before its start will not receive the default 72-hour confirmation or 24-hour reminder.
No reminder may be correct behavior.
Before diagnosing delivery, compare the booking time with the notification schedule. Skip sending duplicate manual messages until that timing has been checked.
Where Notification Settings Are Located
GlossGenius documents separate mobile and browser routes.
Mobile app:
Features > Settings > Client Notifications
Web browser:
Settings > Business > Client Notifications
From those settings, businesses can review whether text or email delivery is enabled for confirmations, reminders, thank-you notes, birthday messages, and supported rebooking communication.
Scheduling, cancellation, and decline communication works differently. Those categories cannot simply be turned off as a group; when a business cancels or declines a request, the member is asked whether the client should be notified.
That prompt matters.
An appointment may have been removed correctly while the client received no notice because the person making the change declined the notification option. Review the appointment activity before blaming message delivery.
Why a Client Receives No Text or Email
GlossGenius identifies two primary causes in its troubleshooting material:
- the notification type is disabled in the business settings;
- the client unsubscribed from GlossGenius email or text communication.
Check the account setting first. Then review whether the problem affects one client or many.
When only one person reports missing messages, their subscription status or contact information deserves attention. When many clients stop receiving the same notification around the same time, inspect the system-status page and the business-wide notification setting.
Do not assume every undelivered message is a platform outage. GlossGenius also notes that text marketing delivery can fail because of an invalid phone number, carrier filtering, or a client texting STOP.
Appointment notifications and marketing campaigns are not the same system. Routine appointment notifications are not deducted from the text-marketing credit balance, while marketing campaigns use plan-based credits.
Keep those categories separate.
Rebooking Reminders After an Appointment
GlossGenius offers Rebooking Reminders on its Gold and Platinum plans. The current feature sends a text message after a chosen period following the client’s last appointment. It is enabled by default for eligible accounts and cannot currently be customized as free-form message content.
The default rebooking interval is six weeks, but the business can choose timing from one to 12 weeks.
The mobile path is:
Features > Settings > Client Notifications > Rebooking Reminders
The browser path is:
Settings > Business > Client Notifications > Booking Reminders
A hands-on limitation matters here. GlossGenius says a rebooking reminder becomes available after mobile checkout, except when Mark as Paid is used. It cannot currently be triggered through checkout completed in the web-browser login.
Use mobile checkout when the reminder is part of the workflow. Skip troubleshooting the reminder after browser checkout because that path does not currently trigger it.
Review Requests and Google Reviews
GlossGenius can ask clients to leave reviews through receipts and follow-up communication. The company’s reputation-management page says review requests can direct clients either to the business’s GlossGenius website or its connected Google Business Profile.
The destination matters.
A business expecting new reviews on its GlossGenius page may have configured prompts to send clients to Google instead. That does not mean the prompt failed.
Review the current review-management setup before asking a client to submit the same feedback again. Duplicate requests can feel confusing, particularly when the first review was successfully posted to a different profile.
GlossGenius also promotes connecting booking and reviews with Google Business Profile through its Reserve with Google tools. Availability and behavior can depend on the business setup.
Priority two is destination verification. Skip manual review chasing until you know where the automated link leads.
Waitlist Notifications and Open Appointments
GlossGenius supports automated and manual waitlist management. Clients receive an email and text when they are added to an automated waitlist. If a cancellation creates matching availability, eligible clients receive the booking link, and the first person to complete the booking gets the opening.
A waitlist notice is not a reservation.
The client still has to book the available time. Another person may take it first.
GlossGenius says automated notices are triggered only when a cancellation creates availability matching the client’s waitlist request. The client is also notified if the request expires without a match.
When automated waitlist notifications are disabled, the business must manage entries manually. The documented route is to select the waitlist entry, choose Convert to appointment, review the details, and book it.
Do not promise an opening before conversion or client completion. A waitlist match shows opportunity, not a confirmed appointment.
Automatic Approval of Booking Requests
GlossGenius lets businesses choose how online appointment requests are approved.
The current options are:
- Always: requests are automatically confirmed and added to the calendar;
- Existing Clients Only: qualifying existing clients are auto-approved, while new clients require review;
- Never: every request requires manual approval.
Requests requiring manual action must be handled within 48 hours. If no action is taken, the request expires and is removed, and the client receives a notification that it was not approved.
The mobile route is:
Features > Settings > Booking Controls > Online Booking Settings > Auto-Approve Appointments
The browser route is:
Settings > Business > Booking Controls > Auto-Approve Appointments
This explains a common client complaint: “I submitted the appointment but it disappeared.”
A request is not always a confirmed booking. Check whether the business uses manual approval and whether the 48-hour window expired.
Updating the Address Shown in Notifications
Client messages can display the business address. GlossGenius says owners may need to update both the Business Location field and any custom language used in confirmation or reminder emails to ensure clients receive the correct destination.
The mobile business-address route is:
Features > Settings > Business Details > Business Location
The browser route is:
Settings > Business > Business Details > Business Location
Accounts with multiple Locations may manage addresses separately for each location.
Update both places after a move. Skip editing only the email wording while leaving the structured Business Location field outdated.
GlossGenius currently allows custom language in certain email notifications, but text-message notification content cannot be customized.
Privacy Settings for Health Businesses
GlossGenius provides HIPAA-compatible notification behavior for eligible covered entities that have signed a Business Associate Agreement and had HIPAA compliance enabled for the account.
Under that configuration, notifications omit the scheduled service name and do not include the normal appointment-management link for cancellation or rescheduling.
That missing information is intentional.
A health-service business using the HIPAA-compatible setup should not assume that the notification template is broken because service details or management links are absent. The language is adjusted to support privacy requirements for protected health information.
Requirements vary by business status and plan. Confirm eligibility and configuration through GlossGenius before relying on the feature for compliance.
GlossGenius FAQ
Do clients need the GlossGenius business login?
No. They use the provider’s booking page.
Why did a client receive no 24-hour reminder?
The appointment may have been booked less than 24 hours before its start, the reminder may be disabled, or the client may have unsubscribed.
Are appointment texts deducted from marketing credits?
No. GlossGenius distinguishes unlimited client notifications from credit-based text-marketing campaigns.
Can rebooking reminders be sent after browser checkout?
Not currently. GlossGenius says the reminder is triggered through eligible mobile checkout and not through checkout in the browser login.
Why did an appointment request disappear?
A manually reviewed request may have expired after 48 hours without approval. Auto-approval settings determine which requests require action.
Does a waitlist match reserve the appointment?
No. The matching client receives a booking link, and the first client to complete the booking gets the opening.
Can text reminder wording be customized?
No. GlossGenius currently says text-notification content cannot be customized. Certain email notifications can include custom language.
Why is the service name missing from a health appointment message?
HIPAA-compatible notifications omit the service name and appointment-management link after the eligible business signs a BAA and HIPAA settings are enabled.
